Privacy Policy

Last updated: August 23, 2026

This policy explains how Snapgrade Editor handles personal data when teachers use the service to prepare feedback on student writing. Snapgrade Editor is a teacher-facing product. Students and parents do not have accounts in the current service.

1) Information we collect

We collect the information needed to provide and secure the service:

  • Account and authentication data: name, email address, profile details, organization membership, sign-in provider, and authentication records. Password and Google sign-in credentials are handled by our authentication providers; Snapgrade does not receive your Google password.
  • Teacher and student records: teacher profile information and student names, classes, contact details, photos, notes, and other information a teacher chooses to enter.
  • Uploaded writing and images: pasted text, documents, photographs or scans of handwritten work, assignment information, and related metadata.
  • Corrections and outputs: proposed and teacher-approved corrections, explanations, advice, annotations, assignment templates, generated previews, and exported PDFs.
  • Service and support data: device and browser information, IP address, security and error logs, product usage events, and messages sent to support.

2) How we use information

We use personal data to:

  • create and secure accounts;
  • store and organize students, classes, assignments, and writing;
  • run OCR and AI-assisted correction features;
  • let teachers review feedback and create student-facing PDFs;
  • operate search, storage, analytics, support, and abuse prevention;
  • diagnose errors and improve the reliability and usability of the service; and
  • meet legal obligations and enforce our Terms of Service.

3) OCR and AI processing

Snapgrade sends uploaded writing, images, assignment context, and related instructions to service providers when needed to extract text, generate correction proposals, explain changes, or prepare advice. Automated results are proposals. The teacher decides what becomes final student-facing feedback.

We require providers to process this data for the contracted service and apply appropriate security and confidentiality safeguards. Do not upload personal data that is unnecessary for the correction task.

4) Optional image improvement program

If an organization administrator enables the optional image improvement setting, Snapgrade may use de-identified copies of uploaded images to improve OCR line segmentation and image processing. Administrators can disable this setting at any time. We do not use the textual content of writing, annotations, or personal identifiers to train or evaluate models, and we do not use customer content for advertising.

5) Analytics

We use limited product analytics and operational logs to understand feature use, measure performance, find errors, and protect the service. We do not sell personal data or share it for cross-context behavioral advertising.

6) When we share information

We disclose information only when needed to:

  • use contracted providers for authentication, hosting, storage, search, OCR, AI processing, analytics, email, and support;
  • follow a teacher's instructions or connect an integration the teacher has chosen;
  • comply with law or respond to a valid legal request;
  • protect users, Snapgrade, or the public from fraud, abuse, or security threats; or
  • complete a merger, financing, acquisition, or sale, subject to appropriate confidentiality and data-protection requirements.

7) International processing

Snapgrade and its providers may process data in countries other than the country where the teacher or student is located. We use contracts and other safeguards intended to provide a comparable level of protection where applicable law requires them.

8) Retention and deletion

We keep account data and customer content while the account is active and as needed to provide the service. Teachers can delete students, documents, images, corrections, and other content in the product where those controls are available. Account deletion removes or schedules deletion of associated customer content, subject to short-lived backups, security records, legal duties, and records needed to resolve disputes or prevent abuse.

For help with access, correction, export, or deletion, contact support@snapgrade.app.

9) Security

We use technical and organizational safeguards designed to protect personal data, including access controls, encrypted transport, restricted service credentials, logging, and provider security reviews. No online service can guarantee absolute security.

10) Student data and teacher responsibilities

Teachers and organizations decide what student information to enter and must have the authority to submit it. They are responsible for required notices, consent, and compliance with school or sector rules. Teachers should use the minimum student information needed for feedback. Snapgrade does not knowingly collect personal data directly from children through student accounts.

11) Your choices and rights

Depending on local law, you may have rights to access, correct, delete, restrict, object to, or export personal data. You may also have the right to complain to a data-protection authority. We may need to verify your identity and authority before acting on a request.

12) Changes and contact

We may update this policy as the service or law changes. We will update the date above and give additional notice when a change materially affects how we handle personal data.

Questions or privacy requests can be sent to support@snapgrade.app.
